What's on the form

Your business and the customer's details. The registration, make, model and colour. The date, mileage, fuel or charge, keys and photos taken, at both ends of the job. A car outline from above, both sides, the front and the rear, with a key: S scratch, D dent, C chip, K kerbed wheel, R previous repair. Checks for bodywork, wheels and tyres, glass, lights and interior, and both signatures when the car is taken in and handed back.

How to fill it in well

1. Start with a clean car, in good, even light.
2. Walk round in the same order every time: front, sides, rear.
3. Mark each defect with its letter and a number (S1, C2), and describe it on page 2.
4. Check the wheels, glass, lights and interior. If there is nothing to note, tick "No visible damage".
5. Take photos, and write down how many.
6. Read it through with your customer, both sign, and give them a copy.
7. When the car goes back, check it against the same sheet, and both sign again.
